Tenting at Ravenswood Mansion

 

One of the best aspects of events at Ravenswood Mansion is our beautiful outdoor space. However, due to the unpredictability of Tennessee weather, we do generally recommend tenting for events over 50, to ensure the comfort of all guests.

Ravenswood Mansion does not provide tents. Clients must work with a licensed and insured tent vendor to acquire a tent for their event.

Below is information on tent vendors, common tent sizes for various guest counts, and set up/teardown FAQs.

 

Tent Vendors

Clients may use any tent vendor of their choosing, as long as the vendor can provide a copy of their certificate of insurance for us to keep on file. Most often, we see tents coming in from the four following companies. For the companies listed below, we already have their certificate of insurance on file. There are many variables that go into the cost of a tent, and it's impossible for us to give a price range. You must reach out to tent vendors to gather quotes and information.

Tent Sizes

Tent size is determined by the size of your event guest count as well as your plans for what you intend the tent itself to cover, such as buffet, band stage, and dance floor space.

We recommend working with your planner and tenting company to determine the best size tent for your event based on the number of guests and items you will require under the tent. 

Most commonly, tents are placed on our brick patio. The patio is 40'x90' with a 1’ concrete band surround it. The patio will fit any tent that is 40 feet wide.

Any tents that are less than 40’ wide must be weighted with water barrels, as they cannot be supported with stakes.

Tent Types

Tent structure

We allow frame, pole, and sailcloth tents. Tents may have support stakes driven into the ground, as long as stakes are placed more than two feet beyond the perimeter of the patio.

Pop Up Tents

Pop up tents are not allowed to be brought in by a client or non licensed vendor, including pop up tents for catering, DJs, etc. Pop up tents are allowed if they are provided and set up by a licensed tent vendor only.

Tent Staking

Staked tents are allowed at Ravenswood. For tents staked around the patio, stakes must be more than two feet off the patio in order to avoid hitting an irrigation line. A map of where irrigation lines run is provided here.


Tent Set Up & Tear Down

Tents may be set up beginning at the same rental period start time listed on your contract.

Please note: the staff at Ravenswood Mansion is not responsible for signing for your tenting order, nor for ensuring the accuracy of the order. To avoid hiccups, we recommend clients and/or their planners are present for the delivery and set up of the tent.

Tents must be completely off property no later than the start time of the following event, which is typically (but not always) by 9:00am the following day.

Occasionally, if there are no bookings the day after your event, we can allow a different teardown window, however this is not something we can confirm until 7 days prior to your event. Please communicate with the Event Venue Manager to receive this special permission.

Tenting is allowed in the yellow highlighted areas only. Tenting is not allowed to the front of the house.


Tent Sharing

Often, clients with back-to-back events are able to work together to share a tent. If you have interest in sharing a tent with another couple the same weekend as you, please let us know and would be happy to reach out to the other couple and inquire. If you decide to move forward with tent sharing, we will need your final agreement in writing, signed by all parties, no later than 30 days prior to the event.  The City gives no guarantee that you will be able to share a tent with another client.
